Add Page Numbers to Your PDF

How the page numbering tool works

Our online page number tool adds one label to every page in the uploaded PDF. It processes pages in their existing order, so the first page receives your chosen starting number and each following page increases by one. The tool does not remove pages, reorder content, or create a separate blank numbering sheet. If you need to combine several PDFs into one document before numbering, use our PDF merge tool first, then upload the combined file here.

To begin, upload a PDF under the normal file-size limit. After the file is loaded, open the options panel and choose the starting number, format, and position. Select Add Page Numbers to process the document. When processing is complete, download the numbered PDF and open it in your usual viewer to confirm the result.

Choose a page number format

There are two focused formats. The numeric format displays labels such as “1”, “2”, and “3”. It is useful for reports, worksheets, invoices, and documents where a compact footer or header is preferred.

The second format displays “Page n of total”, such as “Page 1 of 12”. This style makes the total document length immediately clear and helps recipients notice if a printed or downloaded document is incomplete. The total is calculated from the uploaded PDF's page count.

If you need a status label like APPROVED or DRAFT instead of sequential numbers, use our add stamp tool instead. The tool intentionally keeps these formats predictable. It does not claim support for Roman numerals, arbitrary prefixes, custom templates, or excluding individual pages. A focused set of options makes the output consistent and easy to review.

Choose a label position

You can place the label in any of six positions: top-left, top-center, top-right, bottom-left, bottom-center, or bottom-right. Choose a top position when the footer contains existing content, or choose a bottom position for a conventional report layout.

Each page is measured individually before the label is placed. This matters when a PDF combines portrait and landscape pages or pages with different dimensions. On rotated pages, top and bottom follow the visual page orientation shown by a PDF viewer, so the selected edge remains intuitive.

Start numbering at any value

The default starting value is 1, but you can enter another positive whole number. Starting at 7 is helpful when you are numbering an excerpt that follows six pages in another file. Starting at 101 can identify pages in a larger document set. The first page receives the exact value entered, and the remaining pages continue sequentially.

Use a whole number rather than a decimal or negative value. The tool validates this setting before processing, which prevents ambiguous labels and avoids an output that looks correct but has an unusable sequence.

What happens to your PDF

Page numbering is an overlay operation. The original page count, page dimensions, and existing content remain in place while the new text is drawn on top. The tool uses a readable standard font and a consistent margin so labels stay inside the page boundary.

Adding numbers does not edit the source file on your device. The downloaded result is a new PDF with a descriptive filename for easy organization. If your original PDF contains forms, unusual annotations, encryption, or damaged data, create an unlocked, valid copy first when necessary. Password-protected files may need to be unlocked before they can be numbered.

Private online PDF processing

PDF-File.com is designed for self-hosted processing rather than a third-party conversion API. Files pass through the application's normal temporary processing and download flow, and temporary data follows the configured cleanup interval. For confidential documents, use the deployment and privacy practices appropriate to your organization.

The tool works in a modern desktop or mobile browser and requires no PDF editor installation. It is useful for adding simple navigation to meeting notes, academic papers, legal bundles, manuals, proposals, and print-ready documents.
